RIDE HIRE GROUP LTD

Terms & Conditions of Fairground Ride & Attraction Hire

Last updated: 14 October 2026

These Terms & Conditions apply to the hire of fairground rides, funfair attractions and associated services supplied or arranged by Ride Hire Group Ltd.

Throughout these terms, “the Company”, “we”, “us” and “our” refer to Ride Hire Group Ltd. “The Hirer” refers to the individual, business or organisation making the booking.

The Company supplies attractions directly and through a trusted network of independent fairground ride owners and operators.

All bookings are subject to these Terms & Conditions and the individual written quotation and booking confirmation.

1. Bookings & Payments

All bookings are subject to availability and must be confirmed in writing by Ride Hire Group Ltd.

Unless otherwise agreed in writing:

  • A 25% deposit is required to secure the booking and reserve the agreed attraction(s).

  • The remaining 75% balance must be paid no later than 14 days before the event.

  • Bookings made within 14 days of the event require payment in full upon confirmation.

  • Alternative payment arrangements may be agreed in writing with corporate clients, local authorities and established organisations.

A booking is confirmed once the required deposit has been received and written confirmation has been issued by the Company.

Payment of the deposit constitutes acceptance of these Terms & Conditions where they have been supplied to the Hirer before payment.

Where payment is not received by the agreed deadline, the Company may suspend preparations or cancel the booking following reasonable notice. Any cancellation charges will be assessed in accordance with Section 2.

2. Cancellations by the Hirer

All cancellations must be made in writing.

Once a booking has been confirmed, the agreed attractions are reserved exclusively for the specified date and operating period. Ride Hire Group Ltd and the relevant ride owners may decline alternative bookings, commit equipment and staff, and incur costs in preparation for the event.

As attractions are frequently booked several months in advance, cancellations can result in significant financial losses.

Our standard cancellation charges are:

  • 30 days or more before the event: 25% of the total agreed hire charge.

  • 1–29 days before the event: 50% of the total agreed hire charge.

  • On the day of the event: Up to 100% of the total agreed hire charge, where justified by the losses incurred.

These charges represent our standard assessment of potential cancellation losses and are not automatic penalties. Any charge applied will be limited to reasonable, recoverable losses resulting from the cancellation.

When assessing charges, we will take account of costs already incurred, commitments to independent ride owners, lost profit, costs saved and reasonable opportunities to secure replacement work.

The booking deposit will be credited towards the applicable cancellation charge and will not be charged separately.

Where payments received exceed the applicable cancellation charge, the balance will be refunded. Where recoverable losses exceed payments already made, the Company may request the difference where permitted by law.

No cancellation charge will exceed the amount lawfully recoverable, and no loss will be recovered twice.

These provisions do not affect the Hirer's statutory rights.

3. Quotations & Booking Confirmation

All quotations are free of charge and provided without obligation.

Quotations are prepared using the details provided by the Hirer, including the event date, location, attractions required, operating hours, venue access, ground conditions and any additional requirements.

Quoted prices remain subject to availability until the booking is confirmed.

The written quotation and booking confirmation will identify the agreed attractions, hire period, price, payment arrangements and any additional services.

Changes to the event date, location, operating period or attractions must be agreed in writing and may result in additional charges.

4. Hire Period & Additional Hours

Unless otherwise agreed in writing, the standard hire period is four hours.

The confirmed operating times will be specified in the booking confirmation.

Additional operating hours may be arranged in advance, subject to attraction availability, staffing and operational requirements.

Additional hours are normally charged at:

  • £100 per hour for smaller attractions.

  • £200 per hour for larger attractions.

The applicable rate will be confirmed in the quotation.

Any additional staffing, fuel or operational costs associated with extended hire will be discussed and agreed before the additional service is provided.

5. What the Hire Includes

Unless otherwise stated in the quotation, the agreed hire price includes:

  • Delivery of the agreed attraction to the event location.

  • Professional installation and dismantling.

  • Appropriately trained operating staff supplied by the relevant ride owner.

  • Operation throughout the agreed hire period, subject to safety requirements.

  • Removal of the attraction following the event.

Generator provision, fuel arrangements and any additional power requirements will be confirmed individually within the quotation.

Ground protection, trackway, fencing, security, overnight accommodation and other site-specific requirements are not included unless expressly agreed in writing.

6. Site Access, Ground Conditions & Site Visits

The Hirer must ensure that the event location is suitable for the agreed attractions.

This includes adequate vehicle access, sufficient operating space, suitable ground conditions and any necessary overhead clearance.

The Hirer must inform the Company of relevant site restrictions, including soft ground, slopes, underground services, overhead obstructions and restricted access.

Where a site visit is requested or considered necessary, an additional charge may apply.

Site visits are subject to a minimum charge of £100, with the final cost depending on location, travel distance and requirements.

The charge will be confirmed and agreed before the visit takes place.

Where undisclosed or unsuitable site conditions prevent safe installation, the Company will discuss reasonable alternatives with the Hirer. Any charges arising from the inability to proceed will reflect the circumstances, costs reasonably incurred and applicable legal rights.

7. Permissions, Licences & Event Arrangements

Unless otherwise agreed in writing, the Hirer is responsible for obtaining the necessary permissions, licences and approvals for the event.

These may include permission from landowners, venue management, local authorities or other relevant bodies.

The Hirer is responsible for appropriate event management arrangements, including crowd control, security, emergency access and any site-specific requirements.

The Company and relevant ride owners will provide appropriate attraction information and safety documentation where reasonably required.

8. Safety & Operating Standards

Safety is paramount.

All attractions supplied through Ride Hire Group Ltd are required to comply with applicable health and safety legislation, relevant Health and Safety Executive (HSE) guidance and recognised industry safety standards.

Attractions must hold appropriate inspection documentation, including valid ADIPS certification or other applicable certification where required.

Independent ride owners are responsible for the maintenance, inspection, installation and safe operation of their attractions.

All attractions must be operated by appropriately trained and competent personnel.

The individual ride operator has authority over the safe operation of the attraction and may refuse admission, suspend operation or stop a ride where safety requirements cannot be met.

Passengers must follow all operator instructions and comply with applicable age, height, weight and other ride restrictions.

Relevant risk assessments, method statements, inspection certificates and insurance documentation can be provided upon request.

9. Weather & Unsafe Operating Conditions

Fairground rides can generally operate during normal rainfall. However, adverse weather and ground conditions may occasionally make continued operation unsafe.

Ride operators reserve the right to delay, temporarily suspend or stop operation where conditions present a safety risk.

Such conditions may include high winds, severe rain, thunderstorms, lightning, flooding and other adverse environmental conditions.

Where an attraction has been delivered, installed and made ready for the agreed hire period, the full agreed hire charge remains payable.

No reduction or refund will normally be provided for operating time lost solely due to adverse weather or unsafe environmental conditions beyond our reasonable control, except where required by law.

Decisions regarding safe operation and the resumption of an attraction remain with the individual ride operator.

Where the Hirer chooses to cancel or postpone an event due to actual or forecast weather conditions, the cancellation provisions in Section 2 will apply, subject to applicable law.

10. Mechanical Breakdown & Failure to Supply

All attractions supplied through Ride Hire Group Ltd must be appropriately maintained, inspected and operated by experienced personnel.

Although every reasonable effort is made to provide reliable operation, mechanical or electrical faults can occasionally occur.

In the event of a breakdown, the ride owner or operating team will make reasonable efforts to rectify the fault and resume safe operation as quickly as possible.

Temporary Breakdowns

Where a temporary fault is resolved within a reasonable period and does not result in a significant loss of the agreed operating time, no refund or reduction in the hire charge will normally be made, subject to the Hirer's statutory rights.

Significant Breakdowns

Where a breakdown results in a substantial loss of the agreed operating period, a proportionate refund or price reduction will be assessed in relation to the affected attraction and the service actually provided.

For example, if an attraction is booked for four hours but is unable to operate for two hours due to a mechanical fault, a partial refund would normally be appropriate.

Failure to Attend or Supply

Where a ride owner fails to attend, experiences a breakdown during transport or is otherwise unable to supply the agreed attraction, Ride Hire Group Ltd will make reasonable efforts to arrange a suitable alternative.

Any material substitution must be agreed with the Hirer.

Where no suitable replacement is provided and the agreed attraction cannot be supplied, the hire charge for that attraction will be refunded in full.

Where several attractions are booked, a fault affecting one attraction will not automatically result in a refund for other attractions supplied and operated as agreed.

Nothing in this section affects statutory rights.

11. Attraction Availability & Photographs

Photographs displayed on the Ride Hire Group Ltd website are intended to illustrate the type and style of attractions available.

Through our network of independent fairground ride owners, we can arrange attractions with varying designs, colours, artwork and specifications.

Where a specific attraction has been agreed in writing, any proposed material substitution will be discussed with the Hirer.

If an attraction becomes unavailable, we will endeavour to provide a suitable alternative.

Where no suitable replacement can be agreed, the Hirer's applicable refund and contractual rights will be respected.

12. Staffing & Operator Responsibilities

All rides and attractions are supplied with appropriately trained and experienced operating staff provided by the relevant ride owner.

The individual ride owner is responsible for providing competent personnel to install, operate and dismantle the attraction safely.

Operating staff are entitled to reasonable breaks during the event, with attractions remaining safely supervised and secured where necessary.

Unless otherwise agreed, the Hirer must provide appropriate welfare facilities, including access to toilets and drinking water, for staff attending the event.

Staff must be treated respectfully. Threatening, abusive or unsafe behaviour may result in operation being suspended where reasonably necessary to protect staff or visitors.

13. Damage, Misuse & Hirer Responsibilities

The Hirer must take reasonable steps to maintain a safe and appropriately managed event environment.

Unauthorised persons must not interfere with, operate, alter or dismantle any attraction or associated equipment.

Where damage is caused through negligence, deliberate misconduct or misuse by the Hirer, their employees, contractors or guests, reasonable repair or replacement costs may be charged where the Hirer is legally responsible.

Charges will be supported by appropriate evidence.

The Hirer will not be charged for normal wear and tear, pre-existing defects or damage for which they are not legally responsible.

14. Insurance & Liability

All attractions supplied through Ride Hire Group Ltd are required to hold appropriate inspection documentation and public liability insurance.

Public liability cover may vary according to the attraction and relevant policy, with cover ranging from £5 million to £25 million where applicable.

Individual ride owners are responsible for maintaining the insurance, certification and operational standards required for their attractions.

Relevant insurance documentation is available upon request.

Ride Hire Group Ltd will exercise reasonable care and skill in selecting suppliers, coordinating bookings and fulfilling its contractual responsibilities.

Nothing within these Terms & Conditions excludes or restricts liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation or any other liability that cannot lawfully be excluded.

These terms do not remove any statutory rights or remedies available to the Hirer.

15. Circumstances Beyond Our Reasonable Control

Ride Hire Group Ltd shall not be liable for delays, interruptions or failure to perform caused directly by extraordinary circumstances beyond its reasonable control, to the extent permitted by law.

Such circumstances may include:

  • Acts of God and natural disasters, including storms, flooding, earthquakes and other extreme natural events.

  • War, armed conflict, invasion, terrorism, civil unrest or serious public disorder.

  • Government restrictions, emergency legislation or official orders.

  • Major road closures or widespread transport disruption beyond our reasonable control.

  • Fire, widespread power failures or significant infrastructure emergencies not caused by our negligence.

  • Other extraordinary events that could not reasonably have been prevented or avoided.

The Company will take reasonable steps to minimise disruption where practicable.

Where an attraction has been delivered, installed and made ready for operation, the full agreed hire charge will normally remain payable for interruptions caused solely by circumstances beyond our reasonable control, except where required by law.

Where circumstances prevent an attraction from being supplied at all, the parties' financial rights and obligations will be determined in accordance with applicable law.

This section does not protect the Company against its own negligence, avoidable failures or breaches of contractual obligations for which it remains legally responsible.

Nothing within this section excludes or restricts statutory rights that cannot lawfully be excluded.

16. Complaints & Disputes

Ride Hire Group Ltd is committed to providing a professional and reliable service.

Any concerns arising during an event should be reported promptly to the operating team and Ride Hire Group Ltd so that reasonable efforts can be made to resolve the matter.

Formal complaints should be submitted in writing and should include the event date, attraction concerned and details of the issue.

Complaints will be investigated and responded to within a reasonable timeframe.

These Terms & Conditions are governed by the laws of England and Wales, subject to any mandatory legal protections or jurisdictional rights applicable to the Hirer.
